Apps every Virtual Agent needs

As a virtual/digital/paperless agent, here are some of the apps, I need on a daily basis for working with clients! I am breaking them into categories, for ease of use.

Foundational Apps
Dropbox- it is my online file cabinet or what I use to call my briefcase. When I first started using Dropbox, I did not want to pay for storage, so I would just move my active/pending files into the Dropbox. Then when they closed, I would move them out and put them back on my C:/. Then Carbonite would back it up so I still had a cloud-based storage system. Quick “Amy” tip- to have a complete digital file, make sure you open your email attachments and save to Dropbox. Otherwise, you will be searching your email folders, Dropbox and Docusign for that executed amendment.

Carbonite
Is an online cloud based storage system that backs up my whole C:/ drive. It does not back up my software however, you can pay additional for that functionality. I think of Carbonite as my “attic”. When I use to use paper, I would close out my file in my database, then put in a banker’s box. At the end of the year, I would put the banker’s box in the attic. If I needed to retrieve a file, I would have to climb into my attic and dig through boxes. Now, I just open the Carbonite app and look for my file digitally. Another popular back up program is Mozy. Find one that works for you. Also, Carbonite allows me to restore my whole hard drive if I have a crash-which has happened to me on numerous occasions.

Docusign Ink
My digital signing program for offers, listing agreements, amendments, personal things, etc. Love this app b/c it syncs with my Docusign.com account.

Nuoffer
Allows me to write offers and send for digital signing all in one app!! This App rocks my world b/c I can write an offer and get it signed normally in less than 5 minutes.

IAnnotate
This is a pdf editing program I use on my iPad. Other popular ones are PDF Expert for Droid, iPad or Iphone. Also, I use neu.Annotate on my iPhone. I still prefer to edit PDF’s on my iPad. The PDF editing software I use on my PC is NitroPDF.com or on my MAC (b/c I don’t like the built-in one) is IskySoftPDFeditor.

HAR.com
This is our local Houston Association of REALTORS app that I use out in the field. Otherwise, a lot of agents use Zillow.com, Trulia, Realtor.com or the local association app.

JotNotPro or Genius Scan- if I have a physical pieces of paper and I need to convert to a multi-page PDF. There are tons out there, check the reviews first.

PhotoToPdf- allows me to take that contract that an agent sent as individual .jpgs and convert on my Ipad/Iphone to a multiple page PDF.

QuickOffice- allows me to edit Word or Excel docs

Apps for my Clients to Download
Houzz or Zillow Digs – helps them get ideas to stage their homes or if they are building new construction on what looks good in a house.

Docusign Ink- this is great if they have to sign something digitally for a lender, medical release forms, school records, etc.

Ipmt or some other mortgage calculator -if they are inclined to like to run their own payments before purchasing.

LightTrac- if the buyer is concerned about direction the house faces (Feng shui) or is thinking about putting a pool in and wants to know what way the sun will cross their back yard for optimum sun bathing exposure.

HAR.com App or Realtor.com App- I find out what app they are using to search for properties, then show them certain things they can do with the App.

-JotNotPro or GenuisScan- this is great when the seller needs to send me back the completed seller’s disclosure or copies or repair receipts.

Apps every New Agent to the Real Estate business should have….

I realize that newer agents to this business are getting bombarded with all the things they have to learn and then you add on all the software & apps they need, they may be overwhelmed….. So I want to give some ideas that are just basic essential for every new agent to the business to have on their Droid/Iphone/Ipad! Personally, I think every new agent has an advantage over agents like me that had to take time to re-train their brains away from paper and re-learn their workflow. The brand new agent has lots of new ideas for their way of doing business. I am fortunate that I can sell virtually and that I have clients that trust me.

Ideas to get you started on the road to becoming a paperless/virtual agent. 1. Get your mobile tool box set up- This includes first off an Ipad
2. Download your Foundational Apps to your laptop/Ipad/Droid/Iphone- these include , , and either or .
3. Basic Real Estate Apps

  • Mortgage Calculator – I prefer Ipmt but there are several out there.
  • Your local MLS App – I use HAR.com since that is my main MLS provider. If your MLS provider does not have a mobile app, then I highly suggest you get really comfortable with app or app because that is where the mobile consumer is looking.
  • Net sheet calculator for your sellers- There are a ton of title companies once out there that you can use. I think it is a matter of preference.
  • Mileage Recording App – Tons out there like, but the one I prefer is
  • Photo editing software like SnapSeed so you can take photos of your community and push out through Instagram/Twitter and Facebook.

4. Basic Business Apps

  • You will need a scanner/fax on the go, so I use or lots of my friends use
  • A must have is a business card scanner like so you can quickly get prospects contact information into your contact database and not in that little pile on your desk.

Top 5 Video Apps for a Real Estate Agent

Videolicious is a popular app for making quick videos on the fly. I like the visual layout of the app as well as how user friendly it is for anyone. The three step process allows you to taking still photos and video clips from your Ipad/Droid/Iphone camera roll and upload them. Step Two is the part where you tell your story where you can do a quick video clip of yourself to promote yourself or youc company. Step Three allows you to choose your Music either from Theme Music preloaded in the app or from your iTunes albums. Be careful of copyright issues though.

Montaj is a cool video editing app for the Iphone that allows you to shoot clips, shake of your wrist to edit and then share with the world. The cool thing about this app is you can see your friends videos through their social network sharing. Don’t forget every time you create a MONTAJ video, share it to your Facebook and Twitter feeds and use the #MONTAJ hashtag (as well as @montajapp).

The next video editing app is beyond awesome…Splice…. gives you control over assembling video clips, music, photos, visual effects, text, audio mixing with synchronization of sound and voice-over. Wow with all of these features it sounds like it would be hard to use, but this app is simplistic in its editing.

The Magisto is an automatic video editing app that you just upload your video clips, select your theme, pick your music and then it transforms them into beautifully edited finished movies.

ReelDirector is very similar to Splice which allows you to edit a soundtrack, fade music, overlay text, pan and zoom, as well as trim clips. I like the number of choices for transitions as well. Good app but you not instinctive if you have never worked on a video app before.

Amy’s App of the Week -EasilyDo

As a busy co-owner of a virtual real estate company, active real estate agent and speaker/trainer, I personally need all the help I can get with time management. So, I found EasilyDo App (available on Iphone/Droid. It is marketed as a SmartAssistant, which I was intrigued by this concept. Sure enough after downloading this app, with in minutes I realized how valuable it could be in my daily life.

It combines a lot of apps, like Weather, NeverLate with Tripit, and Cleaner into one awesomely cool app! Easilydo allows me to respond to Facebook events & Eventbrite in one App as well as see all birthdays of friends plus my calendar events. Of course you can go to the individual apps, but I love this because I have one central place to respond. It also informs me of popular posts from my Facebook friends so I can go look at the post.

It also looks through my contacts and alerts me of multiple contacts and if I want to merge contact information. I use to use the Cleaner App for this, but no reason to now. I have also used Twist App to text certain people updates as I am driving, EasilyDo has a similiar function in it but it is not as robust as Twist or Glympse. It will also give me bad weather alerts.

I also love this functionality is that is scrolls through my email accounts that I have set up and it will add boarding passes, hotel reservations, restaurant confirmations from OpenTable automatically to my calendar. Since I book so many of these items on my Iphone- the add to calendar function on some of the individual sites don’t work from the mobile app, so I have had to hand input them in.

If I get an email about package tracking, it will offer to add this to EasilyDo and then notify me of the status. That is a huge lifesaver since I am a MAJOR online shopper.

One last thing that I love is when I a get digital receipt, I have the option to save it to Evernote. BEAUTIFUL!!!

All in all- I love this App!

My Addiction – Apps- The lifesavers of my life

Here are the apps that I ask clients to download as well as the ones I use constantly on a daily basis. I know I left some out, but you hopefully will get a feel for some of them. They range from Dropbox, Evernote, to schedule text messages to go out. Happy “Apping” !!!

Holy Monkey- Zipforms to Docusign- Rocks my world!

Are you struggling on your Ipad to type a listing and then get it to Docusign??? You just have given up hope!! Sound familiar? As a REALTOR in The Woodlands, Texas selling homes on the go is a absolute must with our hot real estate market.

Here are step by step instructions to type up your contract on  Zipforms on your Ipad and then send it to Docusign so you can have your client sign it by either clicking with their mouse or tapping with their finger.

First part is to start with purchasing the mobile version of Zipforms-

1. You must have the moible version of Zipforms that you have had to purchase from zipformsonline.com under the Shopping cart.

2. Then go to m.zipformonline.com on your Ipad. (make sure you Book mark it on your Ipad)

Second part is to go to Box.com

1. You need to set up a box.com account

2. Create a folder that you will want to send contracts to- (Mine is Contracts)

3. Then you will go to Folder Options, click on Upload to this Folder, then click Email Files to this folder.

4. Copy the URL and save it in your Evernote.com account.

Third part is back to Zipforms -Now go to your Ipad and open up Safarai, then tap on your Bookmark, then tap on the saved m.zipformonline.com site

Type your contract in Zipforms. When you are complete, then tap eamil. In the to box, you will need that folder email address that you saved in Evernote. So tap your home button on your Ipad & open up Evernote application. Find the saved note that you saved the Box.net upload url in. Then copy the url, tap home button on Ipad and tap on Safari.  Go to the Zipforms tab that you already had opened. Then in the email box, tap and hold till the Paste option comes up. Then tap Paste.  Then tap send email.

Last step before you will be doing the Happy Dance. Now go to Docusign app.  Tap on New Envelope, tap on Box Docs, Tap on the folder you named in the box.net account (mine is Contracts). Then tap on the contract, tap on next, then type in subject and email message. Then tap Tag Document. Then Tap Add Recipient. Tap Signer. Type in client information.  Tap Add. Now on the right hand side tap on the appropriate option (Signature or Intiail). Now tap on the screen where you need the signature.  Then tap Send Now in the right hand side.

Tada!!!!  That is how you rock as a Digital Agent!

Amy’s App of the Week- July 9th -Grocery List Buy me a Pie

Do you a grocery  list sitting in your kitchn drawer or on your fridge? Then you are at the grocery store and realize you forgot the grocery list in  your drawe???? Been there! Done that! I would even have my family take a photo of it with their Iphone and text to me! Or have you spent an hour at the grocery getting all the groceries, only to come home and have your kids say, “Oh, I did not know you were going to the store! I needed this….” Then you pull your hair out in frustration!!

Does this sound like you? Well there’s an App for that!  It’s called Grocery List Buy me a Pie- Our whole 4 member family has downloaded the app at $2.99/each.  I created a household log in for the app.  So let’s say my daughter needs some shampoo. The old way was for her to go into the kitchen, root around for a writing utensil, & write it on the (much-forgotten) grocery list. The “new” way in the Harris Household is to go to your Iphone or their Ipad, open up the Grocery List app and type it in. It’s that simple!!! Since it is a cloud-based app,  the list is always synched so it doesn’t matter what device you pull it up on- it will always be updated.

So now when I am at the grocery store, when I cross of an item on the list, it will update the list.  Last weekend, I told my husband I was going to run errands after being out on a listing appointment.  He did not know I was going to the grocery store until the app kept updating him in the notifications that I had updated the list.  So he texts me to ask if I was at the store…my response…”Yes, duh!” So he updates the list of what he needed- Voila- I buy it!!! It is a beautiful thing to have technology work for effiency in my business and my household!

Amy’s App of the Week- Slideshark – June 17th

Fins Up!!!! This is for all my PC friends that don’t have a Mac but have an Ipad-that have been waiting for a way to do a true presentation on their Ipad using Powerpoint!!!  I upload my Powerpoint presentation to the Slideshark website. Then I open my Ipad app and tap sync.  Forewarning, it will take a little bit of time to sync the presentations to your Ipad. My notes are there on the slides so I can see. I swipe to move slide ahead or back.  A function that I really like is that I can put a presentation in Dropbox, then open Dropbox on my Ipad. From there, I tap the right upward arrow button (known as the “Open in”) and I can “Open in” the Slideshark app-so in case I forgot to load it to Slideshark.com on my laptop!! I can not wait to play with it more!

Amy’s App of the Week- June 10th- Documents To Go


Ever have the need to edit an Excel or Word file on the go from your Ipad?  Lately, I have had the need! See, I am doing my seller’s net sheet the old school way….on an Excel spreadsheet that I designed years ago for my clients.  My clients are typically made up of -Engineers, Attorneys and Accountants, who are use to spreadsheets and it gives them the freedom to edit list price and see their net figures. But I needed a way to do it quickly on the fly and not have to go back to my laptop.  My husband has been using this App for years as an Engineer and being a typical wife, thought I knew better…. Lo & Behold….he was RIGHT! I have my seller net sheet and my seller checklist saved in Documents to Go so I can access it and edit them at anytime!  I love being more efficient!

Amy’s App of the Week- Ipmt – May 13.2016

Great app for real estate agent or a consumer wanting to know what there payments will be. I use this app a lot and have quite a few of my lender friends that use this as well!!!
